General Terms & Conditions (Applicable to all Programs)

Acceptance of Conditions

By enrolling and/or participating in any of Total Tennis Lake Macquarie’s (TTLM) programs, you are agreeing to and accepting all our terms and conditions, both for yourself, your children and any other dependants.

Consent to Participate & Declaration of Fitness

The participant acknowledges that they will be exposed to certain risks when participating in TTLM programs, including but not limited to physical activity. The participant understands, accepts and assumes the inherent risks in these activities and acknowledges they are physically fit and able to participate in the program. The participant will immediately notify TTLM of any change to the participant’s medical condition, fitness, or ability to participate.

Medical & Liability

I hereby authorise the staff of TTLM to act for me according to their best judgment in any emergency requiring medical attention. I release TTLM from any and all liability for injury or illness, as well as any costs incurred, whilst undertaking a program with TTLM.

Inclement Weather

TTLM operates on the basis that if you do not get a text or see an online notice posted, sessions are going ahead as normal. We value your safety but also understand different people have different tolerances to the weather, so if sessions can be safely conducted, they will go ahead as normal. We classify inclement weather as heavy rain or the court surfaces displaying physical surface puddles as a result of the rain. 

If we decide to cancel sessions due to inclement weather, we will immediately post a notice on our social media pages, then work through texting out a notice to each participant. We endeavour to give as much notice as possible of cancellation, though sudden changes in weather sometimes make this unachievable. 


Extreme Weather

If extreme weather is experienced at or above the venue during the time of a session, the above protocol will be actioned, and sessions will be immediately cancelled as soon as the extreme weather is experienced. We classify extreme weather as lightning, extreme heat (temperatures higher than 36 degrees), hail or any kind of natural disaster.

Photography & Video Images

I acknowledge that TTLM may film, use video analysis and photography during any of our programs. I acknowledge and agree that this usage, including for marketing & promotion purposes, is without compensation or notice to myself. Images may be used on our website, social media and other promotional materials.

Parental Involvement

Vida supports Tennis Australia’s stance and efforts in helping educate parents on their important role within the child’s sporting journey. We encourage all parents to remain off the court during their child’s lesson.  This enables both the coach and student/s to concentrate entirely on the lesson, create independence for the child, promote a child’s decision-making skills and build the coach – student relationship. 

As a parent / guardian of a participant in any activity held / run by Vida you agree to try and meet the following requirements in regard to your conduct during any such activity, program or event to the best of your abilities:

Coaching Specific Terms & Conditions

Term Based Coaching Programs

Enrolment

In order to enrol in any of our term based coaching programs, TTLM requires that you complete an online enrolment via our Customer Portal prior to starting lessons. You’ll need to provide your and/or your child’s basic details, contact information and payment details. Once an account is created, you will then be able to login and select your preferred program to enrol in. Please contact us if you require assistance with enrolment.

Dates & Sessions

Our term-based programs operate 40 weeks of the year, in 4 x 10-week blocks aligned as closely as possible with the public school terms. To find view this years term dates, click here: 2025 Term Dates. Players must book for in for 10 week blocks for our term programs.

Fees 

For 2025: 

Players have the option to either: 

  1. Pay their term fees outright via online credit card, bank transfer, EFTPOS or cash. This is due immediately for new players and by the end of week 1 for players already enrolled. 
  1. Sign up to our fortnightly direct debit program, in which a fortnight’s worth of fees will be automatically from a nominated account every second week. 

For 2026: 

All players will need to sign up to our fortnightly direct debit program, in which a fortnight’s worth of fees will be automatically from a nominated account every second week.

Re-Enrolment

Re-enrolment is not necessary at TTLM. To streamline the process, you will keep your position in your nominated program indefinitely until you indicate to us you’d like to be withdrawn. 

Cancellation of Lessons 

For 2025: 

Players must contact us in writing to be withdrawn from their lessons. Players that don’t wish to be auto re-enrolled for the following term must provide us with a minimum one weeks’ notice before the new term starts in order for us to cancel their enrolment and offer their position to other players. 

For 2026: 

New players are committed to participate for a minimum of 10 weeks of a program upon signup. This balances out costs on our end as many of our programs offer additional freebies/new enrolment offerings. After this time, players may cancel their lessons at any point by contacting us in writing. Please note that a minimum 14 days’ notice must be provided in order for the direct debit process to be cancelled out on the providers end.

Inclement Weather

All term based coaching programs follow our general Inclement Weather Policy (see above). If one of your sessions is cancelled due to inclement weather, fees for the session will still be charged as per normal, though we will credit you a Makeup Lesson Credit. See Makeup Lessons for further details.

Lesson Absence & Makeups

If you are unable to attend a session due to any reason (including illness, injury, holidays etc.)  you must notify us of your absence with sufficient notice in order to be eligible for a make-up lesson. 

Sufficient time is considered; 

  • AM lessons – 6 pm the night prior 
  • PM lessons – 9 am of the day of the lesson 

We allow for a maximum 2 make-up lessons per person each term for all term based programs (note these 2 makeups DON’T include any sessions cancelled due to inclement weather.) These credits must be used within the term they are incurred and it is your responsibility to organising booking them. 

Notification of absence for group sessions MUST be done via our Customer Portal and via text message to your coach for private lessons (I have the functionality to automate this too – we need to discuss Loz.) If you sustain a long-term injury, illness or your circumstances significantly change, please contact us to discuss options to make arrangements/alter/cancel your sessions.

Booking Makeup Lessons

All Makeup Credits (both from weather cancelled and self-cancelled sessions) incurred from group sessions are redeemable via our Customer Portal for another session during the term. We endeavour to offer additional sessions during the school holiday periods to use up any unused Makeup Lesson Credits also, which will be displayed online towards the end of the given term. 

To utilise private lesson Makeup Credits, please contact your private coach to discuss availability. 

Please Note: ALL Makeup Credits strictly expire once a new term begins and must be used within the term or proceeding school holidays they are incurred in.

Session Based (Casual) Coaching Programs

Session Based Programs on Offer

Programs that offer session based booking include: Cardio Tennis, Holiday Clinics, Adhoc Private Lessons, Performance Clinics and select specific coaching programs (schools. Disability etc.)

You’ll need to provide your and/or your child’s basic details and contact information and payment details. Once an account is created, you will then be able to login and select your preferred program to enrol in. Please contact us if you require assistance with enrolment.

Must be paid in full at the time of booking, either using a credit card via our online portal or by direct deposit, EFTPOS or cash onsite during staffed hours.

Re-Enrolment

Session based programs all require booking by the player if they wish to attend. No re-enrolments are automatically made or carried over.

If one of your sessions is cancelled due to inclement weather, fees for the session will still be charged as per normal, though we will credit you a Makeup Lesson Credit. Leagues & Competition Specific Terms & Conditions

Enrolment

In order to secure your position in any of our leagues or competitions, TTLM requires that you create an Xpoint League Account prior to participating. Once an account is created, you will then be able to login and enter events. Please contact us if you require assistance with enrolment.

Dates & Seasons

All our standard league programs operate off 8 week seasons. These seasons are specific to each individual league and hence they all run on their own timeline. Series leagues operate in junction with the dates used for our term based coaching programs, which can be found here: 2025 Term Dates.

Fees

Must be paid in full at the time of entry, either using a credit card via the Xpoint portal or by direct deposit, EFTPOS or cash onsite during staffed hours.

Re-Entry

Must be done online via the Xpoint portal on for players playing the current league in progress onsite.

Withdrawal from Leagues

Any player that wishes to be withdrawn from a league before it’s conclusion must contact us in writing. Unfortunately due to the time required to redo draws and replace players, no refunds or credits can be offered to players withdrawing from leagues after the draws have been published.

Inclement Weather

All leagues and competitions follow our general Inclement Weather Policy (see above). If one of your matches is cancelled due to inclement weather, it will be rescheduled to be played at the conclusion of the already scheduled rounds so you do not miss out on playing any matches. 

Absence

If you can’t make any of your scheduled matches, please notify us of your absence via the Xpoint League Account. If you have arranged for a substitute player to take your place you can enter their name here also, otherwise we will endeavour to find a replacement to play your match for you. No credits or refunds will be provided for players unable to play any of their matches.
